Payments & Registration

To secure bookings, participants must complete full payment prior to attending webinars or conferences. All registrations are processed through our official payment gateway or that of our partners. Upon successful registration, a confirmation email including a receipt and transaction details will be sent to the registered email address. On-site payments are subject to availability, and Globalmeetx is not responsible for accommodation in cases of on-spot payments.

Early Bird Registration

Participants must complete their payment on or before the deadline stated on the registration page to qualify for early bird discounts.

Registration Information

Detailed registration information is available on the respective conference registration pages. Prices may change based on slot availability and currency fluctuations, making early registration highly recommended.

Cancellation, Registration Transfer and Postponement

• Participants are encouraged to apply for a visa as early as possible due to security policies and regulatory processing times.
• Visa Approval- Globalmeetx Conferences does not guarantee visa approval, as this is subject to regulatory authorities.
• Event Postponement- In the event of a conference postponement, participants will receive a full refund or may transfer their registration to another Globalmeetx event within one year.
• Consular Support- While Globalmeetx does not liaise directly with embassies or consulates; we will provide the necessary documentation for verification and legal purposes.
• Invitation Letters-Official invitation letters are issued only after successful registration and serve as supporting documents for visa applications.
• Refund Restrictions- Once an invitation letter has been issued; refunds cannot be processed as per our registration terms and conditions.
• Partial Payments-Token amounts or partial payments are non-refundable until full payment is completed.
• Accommodation Documentation- Hotel accommodation letters are provided only to participants who have opted for accommodation during registration.
• Visa Application Guidance-Participants should apply for a Business Visa and select the purpose of visit as Business or Other (Attending Conference) where applicable.

Refund Policy

If a registered participant is unable to attend, the following refund policy applies:

• More than 60 days before the event: 80% refund
• 30-60 days before the event: 50% refund
• Less than 30 days before the event: No refund
• E-poster, video presentation, or virtual participation- Non-refundable

Refund processing takes approximately 5-7 working days from the date of initiation. A 20% deduction will be applied to cover gateway, transaction, and service charges, as well as advance payments for logistical arrangements such as hotel bookings, printing, and shipping.

Accommodation Refunds:Each hotel has its own cancellation policies, and refunds are typically available at least 30 days before the event. Participants should contact us well in advance for accommodation-related cancellations to avoid non-refundable deductions.

Transportation at Venue

• Globalmeetx does not provide transportation from the airport to the venue or within the conference city.
• If shuttle services are available, participants will be informed during the registration process.
• All transportation and parking fees are the responsibility of the participant and will not be reimbursed.

Insurance

• The registration fee does not include any form of insurance coverage. Participants are responsible for arranging their own travel and health insurance.

Professional Conduct & Responsibilities

• Attendees are expected to maintain a professional dress code throughout the event
• Participants are responsible for their personal belongings. While we take necessary safety measures, Globalmeetx is not liable for theft or damage to personal property.

Press & Media Access

• Media representatives must obtain prior authorization to access the conference venue.
• Any media coverage, speaker quotations, or content publication related to Globalmeetx Conferences requires written approval in advance.
